Frequently asked questions

The questions we hear at the first meeting.

Fourteen answers on the audit, the contract, code ownership and how your data is handled. If yours is not here, ask it during the one-hour diagnostic.

Getting started

The audit, its price and your decision.

The audit evaluates the project before a build budget is committed. The introductory diagnostic is free.

Why is the audit paid?

We examine your processes and data, estimate gains and specify what each system must do. This work is a separate paid service. You remain free to commission the build or stop after the audit.

You keep the four deliverables even after a NO-GO decision: the assessment, costed roadmap, specifications for each selected project and an executive briefing note. The preceding one-hour diagnostic is free.

Read about the paid audit (in French)

How much does an audit cost?

From €4,000 to €20,000 excl. VAT, depending on the processes, sites and data. The price is agreed before work starts. It covers PROVE stages 01 and 02 and ends with a GO / NO-GO decision.

Development starts at stage 03 and is not included. Its budget is estimated during the audit. The build contract is signed only after your GO.

View the audit

Is part of the audit deducted from the build?

Yes, if you commission the corresponding project. The days spent writing its specifications are deducted from that project.

The assessment, costed roadmap and executive briefing note are not deducted. You keep them whatever you decide.

What happens after a NO-GO decision?

The project stops and no build budget is committed. We recommend this when the data cannot be used, the process changes too often, or the expected benefit does not cover the cost of the system.

You keep the four deliverables and the conditions to meet before revisiting the project.

How long until the first system is running?

Timing depends on scope, data, integrations and the availability of your teams. We estimate it during the audit and agree on it in the signed project.

The roadmap identifies the first useful project. You can start it without committing to everything that follows.

Working together

The budget, the team and your code.

A defined scope, a total budget and the materials needed to take over the system.

What if the build takes longer?

The price is agreed at signature for a written scope and deliverables. If we underestimate the agreed work, we cover the extra cost.

Additional needs outside the signed scope are priced in a written amendment before work starts. You decide whether to approve the extra spend.

Who manages our project?

You speak directly with Alexandre Cougnenc, Ailix’s founder. A project manager then follows progress with you and the developers. Code and decisions are documented throughout.

Meet the team

Can we take over the system internally?

Yes. Code, deployment scripts and documentation are included. We check that the system can be taken over before go-live.

You choose who takes over: your teams, Ailix or another provider. During the project, we identify the skills needed for maintenance and future changes.

How is a project billed?

On a monthly fixed fee, starting at €9,000 excl. VAT. Scope, duration, amount and deliverables are agreed at signature. The project includes design, development, go-live, documentation and the support specified in the contract.

The full system cost also includes hosting, model calls and any third-party services. These depend on the architecture and usage.

Who owns the code?

You do. We hand over the repository for the code built for your project, including tests, deployment scripts and documentation.

Libraries, models and third-party services retain their own licenses and any usage fees. You own the code we create for you.

Data and reliability

Hosting, model calls and human checks.

Where data is stored and where it is processed are separate decisions.

How do you address GDPR requirements?

We include data protection requirements in the design: access controls, data minimization and traceability. Hosting and model calls are assessed separately. French infrastructure does not mean all processing happens in France.

We provide traceability information for your DPO’s processing records. For health data, the architecture is installed with an HDS-certified host. Ailix Consulting is not a hosting provider.

Does our data go to a foreign provider?

It depends on the model selected, a decision made during the audit. If data must stay in France, the architecture is designed accordingly.

The models, data transmitted and processing conditions are specified before go-live. For sensitive workloads, we plan for the model provider not to retain requests.

What happens when AI gets an answer wrong?

AI can produce incorrect answers. We provide evaluations, source citations for document search and human checks at the points agreed during the audit. Logs let teams examine the system’s decisions.

Output sent to a client, patient or citizen requires human review. The Verify stage addresses hallucination control and actual adoption.

Do we have to replace our tools?

The aim is to work with the ERP, TMS, CRM or messaging tools your teams already use. The audit checks integration options, the access needed and any limitations.

Replacing an ERP or CRM is a separate project and is not folded into the AI project.
